3. Our Services

We provide trade exhibitions, conferences, awards programmes, and related services for the event technology industry. Our services include the Event Tech Live trade show, the Event Technology Awards, digital content including newsletters, podcasts, and webinars, and marketing services for event technology suppliers.

4. Event Registration and Attendance

4.1 Registration

Registration for our events is subject to availability and our acceptance. We reserve the right to refuse or cancel any registration at our discretion. All information you provide during registration must be accurate, current, and complete. You are responsible for updating your registration details if they change.

4.2 Attendance

By attending our events, you agree to comply with all venue rules and regulations, behave professionally and respectfully towards other attendees, exhibitors, and staff, comply with any health and safety requirements communicated before or during the event, and wear your event badge at all times while on the event floor.

4.3 Event Technology

Our events use various technologies to enhance the attendee experience, including registration and badge scanning systems, networking and matchmaking platforms, audience interaction tools, session tracking and content delivery systems, and photography and live streaming. By registering for and attending our events, you acknowledge that these technologies will process your personal data as described in our Privacy Policy. Where specific technologies require additional consent (such as biometric data processing), we will obtain that consent separately.

4.4 Photography and Recording

Our events may be photographed, filmed, and live-streamed for promotional and editorial purposes. By attending, you acknowledge that you may appear in such content. Signage at the event will indicate areas where recording takes place. If you do not wish to be photographed or filmed, please inform a member of our team.

5. Data Sharing at Events

5.1 Attendee Data

Where you opt in during registration, your contact details and professional information may be shared with our headline sponsor or other exhibitors and sponsors you have selected. Where you have your badge scanned at an exhibitor stand, that exhibitor will receive your registration data. In each case, the exhibitor or sponsor becomes an independent data controller. 5.2 Exhibitor and Sponsor Obligations

If you are an exhibitor or sponsor receiving attendee data through our events, you agree to use attendee data only for the purposes disclosed at the point of collection, comply with all applicable data protection laws including UK GDPR and EU GDPR, provide attendees with your own privacy notice when contacting them, honour opt-out and deletion requests from attendees, and not sell or share attendee data with third parties without independent consent.

6. Exhibitor and Sponsor Terms

Exhibitor and sponsor bookings are subject to separate commercial agreements. These Terms apply in addition to any specific exhibitor or sponsor agreement. In the event of any conflict between these Terms and a specific commercial agreement, the commercial agreement shall prevail to the extent of the conflict.

7. Intellectual Property

We are the owner or licensee of all intellectual property rights in our Site, our event brands (including Event Tech Live and the Event Technology Awards), and all content published on our Site. These are protected by copyright, trademark, and other intellectual property laws. You may print or download content from our Site for your personal, non-commercial use. You must not modify, reproduce, distribute, or use any content from our Site for commercial purposes without our written consent.

8. User Content

Where you upload or submit content to our Site or at our events (such as speaker presentations, session questions, or forum posts), you retain ownership of your content but grant us a worldwide, non-exclusive, royalty-free licence to use, reproduce, and distribute that content in connection with our events and services, including promotional activities. Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by English law.

To the extent permitted by law, we shall not be liable for any indirect, incidental, special, or consequential damages, or for any loss of profit, revenue, data, or business opportunity arising from your use of our Site, attendance at our events, or use of our services. Our total liability to you in respect of all claims arising under or in connection with these Terms shall not exceed the amount you have paid to us in the 12 months preceding the claim.

We shall not be liable for any failure or delay in performing our obligations where such failure or delay results from circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, government actions, venue closures, labour disputes, or infrastructure failures.

15. Governing Law and Jurisdiction
