1. Introduction
AMP Events Limited (company number 08430479), trading as Event Tech Live (“we”, “us” or “our”), is committed to protecting your privacy and handling your personal data responsibly. This privacy policy explains how we collect, use, store, and share your personal data in connection with our websites (www.eventtechlive.com), our events (including Event Tech Live London and the Event Technology Awards), and our related services.
Our registered office is 47 Grove Street, Retford, DN22 6LA, United Kingdom. Our VAT number is 158 6062 93.
This policy applies to visitors to our websites, subscribers to our newsletters and communications, registrants and attendees at our events, exhibitors and sponsors, speakers and content contributors, and anyone who otherwise provides personal data to us.
2. Data Controller
Under the UK General Data Protection Regulation (UK GDPR) and the EU General Data Protection Regulation (EU GDPR), AMP Events Limited is the data controller for the personal data described in this policy, except where stated otherwise (see Section 10 regarding exhibitor and sponsor data sharing).
3. Legal Bases for Processing
We process your personal data on the following legal bases:
Contract performance: where processing is necessary to fulfil our obligations to you, such as managing your event registration, providing access to our events, processing exhibitor bookings, or delivering services you have purchased.
Legitimate interests: where processing is necessary for our legitimate business interests, such as improving our events and services, sending you relevant information about future events, analysing attendance patterns to improve the attendee experience, personalising your experience by building a short profile of your likely interests so that matchmaking, exhibitor follow-up and content recommendations are more relevant to you, and maintaining the security of our systems. We balance these interests against your rights, we will not process data where your interests override ours, and you can object to processing based on legitimate interests at any time (see Section 11).
Consent: where you have given us specific consent, such as opting in to receive marketing communications from our sponsors or exhibitors, allowing your badge to be scanned by an exhibitor, agreeing to a meeting being recorded, or consenting to data collection through specific technologies at our events.
Legal obligation: where processing is necessary to comply with a legal requirement, such as tax reporting or responding to a court order.
4. Personal Data We Collect
4.1 Information You Provide
When you register for our events, subscribe to our communications, enquire about exhibiting or sponsoring, enter the Event Technology Awards, or otherwise interact with us, you may provide:
- Your name, email address, phone number, and job title
- Your company name, business address, and company type
- Your role in technology purchasing decisions and annual event technology budget
- The types of events you organise and technologies you use or supply
- Your preferences regarding event attendance, content interests, and networking goals
- Payment and billing information (for exhibitors, sponsors, and ticket purchasers)
4.2 Information Collected Automatically
When you visit our websites, we automatically collect technical data including your IP address, browser type and version, operating system, time zone, pages visited, time spent on pages, and referring URLs. This data is collected through cookies and similar technologies (see our Cookie Policy).
4.3 Information Collected at Our Events
When you attend our events in person, we may collect additional data including badge scan and check-in records, session attendance and content engagement, networking activity through our matchmaking and meeting platforms, meeting summaries and notes where a meeting is recorded, profile information generated to personalise your experience and support matchmaking, and photographs and video recordings taken at the event. Where specific technologies at our events require additional consent (such as recording a meeting, or facial recognition or biometric data collection), we will obtain that consent separately and in advance.
4.4 Special Category Data
We do not intentionally collect special category data (such as racial or ethnic origin, political opinions, health data, or biometric data) through our standard registration and event processes. Where any event technology deployed at our events processes biometric data (such as facial geometry for photo matching), this will be clearly disclosed in advance and separate explicit consent will be obtained. The short interest profiles we build to personalise your experience do not use special category data.
5. How We Use Your Personal Data
We use your personal data for the following purposes:
Event delivery: processing your registration, issuing badges, managing check-in, facilitating networking and matchmaking, and providing access to content and sessions.
Communications: sending you event confirmations, logistical information, pre-event and post-event communications, and (where you have subscribed) our newsletters and industry updates.
Marketing: where you have opted in, sending you information about our future events, products, and services, and (with your separate consent) communications from our exhibitors and sponsors.
Personalisation: building a short profile of your likely interests, drawn in part from information available about your organisation, so that matchmaking, exhibitor follow-up and content recommendations are more relevant to you. This is used only at our events. You can object to it at any time (see Section 11), and your badge scanning and app access will continue to work as normal.
AI-assisted features: providing an AI event assistant and personalised recommendations. Where you interact with the assistant, your messages and relevant event data are processed by trusted AI providers, some based outside the UK, to generate replies. These providers do not use your data to train their models, and the processing is only to deliver the assistant at our events. Where you opt in, the assistant and event reminders may also be delivered over WhatsApp; WhatsApp messages are carried by Meta and may be processed outside the UK.
Event improvement: analysing attendance data, session engagement, and feedback to improve future events.
Exhibitor referral links: where you register through an invitation link shared by an exhibitor, we make your name and email address visible to that exhibitor so they can see that you have registered and follow up with you directly. No other registration data is shared. In most cases the exhibitor will have invited you personally and will already hold these details. Exhibitors may not add referral data to marketing lists without your separate consent.
Eligibility verification: where a registration has been made through an exhibitor referral link, we may check the details you have provided against publicly available professional sources to confirm eligibility under our exhibitor incentive programmes. We do this to prevent misuse of those programmes and we do not retain any information gathered in the process.
Commercial services and reporting: producing audience insights, lead follow-up and post-event reports for exhibitors and sponsors. Aggregated insight is provided by default. Identifiable lead and engagement data is included only in relation to attendees who chose to have their badge scanned or otherwise opted in, or who registered through an exhibitor’s referral link, in which case only name and email address are shared. This data is provided to the relevant exhibitor or sponsor only and never to their competitors, and is used to help that exhibitor or sponsor follow up and measure their results.
Legal and regulatory: complying with our legal obligations, protecting our rights, and ensuring the safety and security of our events.
6. Technology Partners and Data Processors
To deliver our events and services, we use a number of technology partners who process personal data on our behalf as data processors. Each partner is bound by a data processing agreement that requires them to process data only on our instructions, use it only to deliver their service at our events, maintain appropriate security measures, and delete or return data upon termination of services.
Our current technology partners include, but are not limited to:
- Eventpack – registration, check-in and lead capture platform
- Visual Hive (Erleah) – the event AI assistant, AI-powered matchmaking and networking, personalised email, onsite lead capture, and event intelligence. Your assistant messages and event data are processed by AI providers (including providers outside the UK) to generate replies; these providers do not train their models on your data
- Markus AI – post-event exhibitor and sponsor reporting, and meeting intelligence where meetings are recorded
- Komo – audience engagement, gamification, and awards voting
- Memento – official event photography and photo sharing, including facial matching. Memento’s biometric photo matching is carried out under Memento’s own privacy policy
- FFAIR – exhibitor management platform
- Fenix Event Tech – badge printing and kiosk services
- Lineup Ninja – speaker and programme management
- Pigeonhole Live – audience interaction
- Interprefy – live captions and interpretation
- First Sight Media – live streaming and recording
- Airtable – programme, booking and incentive administration
- Brevo – email delivery and campaign management
Some of these partners use their own sub-processors, including cloud hosting, backup, email delivery, messaging (such as WhatsApp), and AI model providers, some of which are located outside the UK. These are covered by data processing terms and the transfer safeguards described in Section 8.
We may update this list as our technology partnerships evolve. Where a new partner will process personal data in a materially different way, we will update this policy accordingly.
7. Who We Share Your Data With
We may share your personal data with:
- Our technology partners as described in Section 6, acting as data processors on our behalf.
- Event exhibitors and sponsors where you have given specific consent, such as opting in during registration, having your badge scanned at an exhibitor stand, or participating in a sponsored activity. In these cases, the exhibitor or sponsor becomes an independent data controller for the data they receive.
- Exhibitors who shared a referral link with you, limited to your name and email address, as described in Section 5.
- Our headline sponsor where you have specifically opted in to receive information from them during the registration process.
- Analytics providers who help us understand website usage and event engagement, using aggregated and anonymised data where possible.
- Professional advisers including lawyers, auditors, and insurers, where necessary for the conduct of our business.
- Law enforcement or regulatory bodies where required by law or to protect our rights and the safety of our events.
We do not sell your personal data. We do not share your personal data with third parties for their own marketing purposes without your explicit consent.
8. International Data Transfers
Your personal data, and data processed by our partners on our behalf, may be processed outside the United Kingdom. This includes the European Economic Area and Switzerland (for example hosting, backup and email delivery), and the United States (for example AI model processing and certain messaging). Where AI providers process your data to deliver the event assistant, they do not use it to train their models.
Where your personal data is transferred outside the UK, we ensure that appropriate safeguards are in place, including transfer to countries recognised as providing an adequate level of data protection (which currently includes the EEA and Switzerland), the UK International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses for other destinations such as the United States, and the data processing terms in place with each partner and their sub-processors.
9. Data Retention
We retain your personal data for as long as necessary to fulfil the purposes for which it was collected, including to provide you with our services and to comply with our legal obligations. Specifically:
- Event registration data: retained until you request deletion, and in any case no longer than 5 years after your last interaction with us (such as attending an event, opening an email, or logging into your account).
- Newsletter and subscriber data: retained until you unsubscribe or request deletion.
- Financial and transaction records: retained for 7 years as required by UK tax and accounting law.
- Website analytics data: anonymised or deleted within 26 months of collection.
- Meeting recordings and transcripts (if applicable): deleted after the event, once the summary and follow-up notes have been produced.
- Biometric data (if applicable): deleted within 30 days of the relevant event, or as soon as the stated purpose is fulfilled, whichever is sooner.
You may request deletion of your data at any time by contacting us at privacy@eventtechlive.com. We will process deletion requests within 30 days.
10. Exhibitor and Sponsor Data Sharing
Where you consent to share your data with an exhibitor or sponsor (for example, by opting in during registration, by having your badge scanned at their stand, or by participating in their sponsored activity), that exhibitor or sponsor becomes an independent data controller for the personal data they receive. The same applies to the name and email address shared with an exhibitor whose referral link you used to register. They are responsible for their own compliance with data protection law, including providing you with their own privacy notice and respecting your rights.
We require all exhibitors and sponsors who receive attendee data through our events to use the data only for the purposes disclosed to you, not to sell your data to third parties, to comply with applicable data protection laws, and to delete your data upon request. However, once data has been shared with an exhibitor or sponsor, you may need to contact them directly to exercise your data protection rights in relation to the data they hold.
11. Your Rights
Under UK GDPR and EU GDPR, you have the following rights in relation to your personal data:
- Right of access: you can request a copy of the personal data we hold about you. We will respond within one month of receiving your request.
- Right to rectification: you can ask us to correct any inaccurate or incomplete personal data.
- Right to erasure: you can ask us to delete your personal data where there is no compelling reason for its continued processing.
- Right to restrict processing: you can ask us to suspend processing of your personal data in certain circumstances.
- Right to data portability: you can request a copy of your personal data in a structured, commonly used, machine-readable format.
- Right to object: you can object to processing based on legitimate interests, including the interest profiling described in Sections 3 and 5, or to processing for direct marketing purposes.
- Right to withdraw consent: where we rely on your consent, you can withdraw it at any time without affecting the lawfulness of processing carried out before withdrawal.
There is no fee to exercise these rights. To make a request, please contact us at privacy@eventtechlive.com. We may need to verify your identity before processing your request.
12. Additional Rights for California Residents
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), including the right to know what personal information we collect and how we use it, the right to request deletion of your personal information, the right to opt out of the sale or sharing of your personal information (we do not sell personal data), and the right to non-discrimination for exercising your privacy rights. 13. Cookies
Our websites use cookies and similar technologies. Strictly necessary cookies are required for the operation of our websites. Analytics cookies help us understand how visitors use our sites. Functionality cookies recognise you when you return to our sites. Marketing cookies may be used to deliver relevant advertising. You can manage your cookie preferences through our cookie consent tool, accessible via the cookie banner on our websites, or through your browser settings. 14. Event Photography and Recording
Our events may be photographed, filmed, and live-streamed. By attending our events, you acknowledge that you may appear in photographs, video recordings, and live streams which may be used for promotional purposes. If you do not wish to be photographed or filmed, please speak to a member of our team at the event. Signage at our events will indicate areas where photography and recording are taking place.
Where specific photo-sharing or facial recognition technology is used at our events, such as that provided by our photography partner Memento, separate consent will be obtained before any biometric processing takes place, and that processing is carried out under the partner’s own privacy policy.
Where meetings booked through the event platform are recorded to produce summaries and follow-up notes, you will be told before the recording takes place and can decline.
15. Children
Our events and services are designed for business professionals and are not directed at children under 18. We do not knowingly collect personal data from children. If you believe we have collected data from a child, please contact us immediately at privacy@eventtechlive.com.
16. Changes to This Policy
We may update this privacy policy from time to time to reflect changes in our practices, our technology partners, or legal requirements. Material changes will be notified to you by email where we hold your contact details. The latest version will always be available at www.eventtechlive.com/privacy-policy.
