Anca Platon Trifan, founder of Tree-Fan Events, on the specific AI tools her team uses to cut event emissions, deliver live captions and translation at scale, and check marketing copy for bias.
The three things Anca says you need to know
AI-driven energy management is already cutting event emissions. Machine learning algorithms regulate AV equipment in real time, adapting lighting and sound to each space’s attendance numbers. AI-driven analytics predict participant behaviour to allocate resources and reduce waste in printed materials and F&B.
Accessibility has moved from aspiration to baseline. Wordly.AI delivers live captions for attendees with hearing impairments. Recordly.AI handles real-time translation for non-English speakers. Mobile apps integrate with VoiceOver (iOS) and TalkBack (Android).
AI can audit your marketing copy for bias. Tree-Fan Events uses Textio to assess language for tone and bias before it goes out, making sure marketing communications are inclusive and culturally aware.
How have you used AI to enhance the sustainability of events you manage?
By combining AV production knowledge with AI, Tree-Fan Events has worked with partners to incorporate AI-powered energy management systems into event spaces. These systems use machine learning to regulate AV equipment energy usage in real time. For example, the AI adapts lighting and sound output based on attendance numbers in each space.
AI-driven analytics have been used at multiple conferences to predict participant behaviour, allowing resources to be allocated based on demand. This reduces waste in printed materials and catering F&B services.
Which AI tools do you use to improve event marketing and engagement with diverse audiences?
Trifan has used a variety of AI tools depending on the event:
- Sprout Social. AI-powered analytics for studying social media trends and audience characteristics, enabling campaigns tailored more personally to different audiences.
- Quividi. An AI-driven audience analytics tool integrated into LED displays at one event. It adjusts content on the fly based on audience responses and demographics, keeping the displayed content relevant.
- Textio. Used to craft marketing materials that are inclusive and culturally aware. The software checks language for tone and bias, making sure communications are respectful and engaging.
How has AI helped you create more inclusive and accessible event experiences?
Two tools in particular:
- Wordly.AI provides live transcription services. Attendees with hearing impairments can read live captions during presentations and discussions, significantly enhancing accessibility.
- Recordly.AI provides real-time translation during events, enabling non-English-speaking attendees to participate fully via instant audio and text translations in multiple languages.
For custom builds, Tree-Fan Events has also integrated mobile apps compatible with screen readers (VoiceOver for iOS, TalkBack for Android). These apps adjust their interfaces based on user preferences, including larger text for visually impaired attendees or simplified navigation.
